Defining the keys for what qualifies as a case is arguably the most critical decision you will make during the planning phase. This is because the values chosen will, from implementation forward, determine how your systems will interact with CAVO® and all of the documents contained within.
Pick two values
CAVO® cases are made up from two values. As a provider, it might make sense to use facility
and encounter
as your unique pieces of information.
Do not use common names
Instead, use numeric or text id's that represent those. Taking the example of facility
and encounter
we might choose to use NPI and account number for the two unique pieces of information.
Eliminate spaces
These identifiers should not use spaces. This can cause inconsistencies if you have 123456 for one identifier and 12345 6 for another.
Use familiar values
If your team has values that they are used to using in their daily work life, we strongly encourage you to incorporate these values into your CAVO® case records. CAVO® can even alter the labels to fit your internal naming conventions. These labels will be applied to all locations where these values can be searched or entered.
