Search within a Case

Learn how to search for information within the library

Searching by Terms

To search within the document(s) in your Case Library, expand the Search button on the right side of the Library Module.

Here, you can perform a search in CAVO® just as you would in any search engine.

You can search by terms, dates found on pages, or by pages containing specific tags. You can combine all of these search criteria as desired.

Notes: The Lucene search rules do not look for small common words such as and, or, the, a, etc. Instead, it searches for more meaningful inputs. The Lucene search is not case sensitive; for example, the search “medical” will find “Medical” and “MEDIcal.” The Lucene syntax expects search operators to be in ALL CAPS. These words include but are not limited to AND, OR, & NOT.

Example Searches using Search Operators

The below query will find pages with the words "history" and "physical" as long as both words exist on the same page.

history AND physical

The below query will find the phrase "discharge summary."

discharge summary

The below query will find pages with the word "medical" as long as the word "denial" is not on the same page.

medical NOT denial

The below query will find "special", "specialty", "specialization".

special*

The below query will find "special", "specials".

special?

The below query will find the exact phrase "admit to inpatient status".

"admit to inpatient status"

The below query will find "medical" and "record" as long as they are no more than two words apart.

"medical record"~2

The below query uses parentheses to group "nurse notes" and "nurses notes." It will find results including "discharge summary" that do NOT contain the words "nurses", "nurse", and "notes".

"discharge summary" NOT (nurse notes OR nurses notes)

The below query will find words that are similar to the word "emergency" like "emergence" or "emergent". This is helpful for commonly misspelled words in the medical record such as medications.

NOTE: Notice that a ~ performs a different function when used without quotes.

Search Operators Recap:

  1. Understand that we are looking at individual pages of a document to determine relevance.

  2.  Use ALL CAPS for search operators: AND, OR, NOT

Predefined Searches can also be used in the search terms box.

Searching by Dates

Further narrow down search results by limiting the search to a specific date or date range found on a page. Use the calendar to select the date you are searching for. CAVO® will automatically look for a wide range of date formats, so all dates are captured in the document. At this time, the maximum date range supported is 14 days. 

Searching by Tags

Selecting a Tag will limit the search to those pages containing that tag. For instance, if Progress Notes are tagged in your case, you could restrict your search to just the pages tagged with "progress note".

Understanding Search Results

After performing a search, CAVO will display your search results with a thumbnail image of a page on the left and the OCR text on the right. If you searched a term, that term will be highlighted in yellow on the right.

You have the option to sort search results either by Relevance to your search criteria or by Document, which places all the search results in page order.

Note: If you are searching by a tag, you will want to sort your results in Document order.

In our current example, searching the term "patient" returned 18 results.

The first result, when sorted by Relevance, is page 31 of a 45 page document named "Medical Record".

Note: At any time, you can expand the three possible search fields to verify what was searched or modify the search criteria.

Filtering Search Results

You can filter your search results so that they only include results from specific documents. This is done by typing in part of the document name into the top Quick filter box, or clicking the filter icon next to a document name to have it's name automatically populated into the quick filter.

Tagging and Notating Search Results

CAVO allows you to add a tag to individual search results or all search results.

You can also add a Note that will be linked to a search result.

Viewing Search Results

Clicking on the thumbnail image or hitting the blue Open button under the thumbnail will open that page. When clicking on a search result, CAVO will track your "search path" so you can go back to any step in the search process. Clicking on any of the previous 3 steps in the orange box below will return you back to your search results, back to the the search tab, or back to the library.

You can navigate from one search result directly to the next by using the up and down arrows to the right of the search path or by holding shift while pressing either the up arrow or down arrow key on your keyboard.

While viewing a page, you can utilize the usual page controls above the image.
